Working During a UK PhD: Visa Conditions and University Rules

Your visa conditions, university rules and funding agreement can each limit outside work during a UK PhD. Check all three before accepting a job, including how your institution defines term time for research students.

Check your own permission

Read the work conditions attached to your current immigration permission and confirm them with your university’s international student team. Full-time degree-level students are usually limited to 20 hours a week during term time on the Student visa, but the permitted activity depends on the individual permission and sponsor, and some conditions are more restrictive. Use your actual conditions when considering an offer, not a friend’s arrangement or an older guidance page.

Expect a right-to-work check before your first shift, and apply for a National Insurance number if you do not already hold one. These checks confirm that you may work as an international student in the UK; they do not confirm that a particular role is permitted. Keep the university’s confirmation of your conditions alongside your employment records so the three documents stay consistent.

Confirm research-degree term time

Doctoral researchers do not necessarily follow the undergraduate holiday calendar. Ask the university to confirm your term and approved vacation dates in writing. Summer, writing-up time and office closures should not automatically be treated as permission to work full-time.

What the Student route permits

The Student route separates the hours you may work from the activities that are permitted at all. A role can fit comfortably inside a 20-hour weekly limit and still fall outside your permission, so check the activity list as well as the calendar. The table below summarises the usual position for full-time degree students on the Student visa in the UK; your own conditions always take priority over a general summary.

Arrangements that treat you as self-employed — freelance contracts, cash-in-hand work or gig-economy platforms — sit on the not-permitted side even when the hours are small. If a proposed role appears permitted in one source and restricted in another, ask the university’s immigration advisers and keep their written reply with your records. Written advice based on your actual permission is worth more than a general article.

Check the activity as well as the hours

Immigration guidance distinguishes volunteering from voluntary work, and the distinction matters for international students. Voluntary work — typically a structured role with a contractual flavour — can count towards the work limit, while genuine volunteering for a public or charitable body does not. The boundary is narrow and depends on who engages you and what the role involves. Ask about the precise activity before accepting it, and record the advice you receive.

Review university and funding conditions

Your doctoral programme or award can impose additional restrictions or require approval. Read the funding agreement and discuss teaching or other duties with the relevant office. If you have several roles, consider the combined hours rather than each job separately.

Plan around confirmed arrangements

Keep employment records and the university’s guidance together. Build a study budget from guaranteed funding rather than work you have not secured or confirmed as permitted, because a stipend arrives on fixed dates while casual shifts do not. The split below is an illustrative monthly budget for a UKRI-funded doctoral researcher outside London — your own figures will differ, but the order of operations stays the same: secure funding first, then decide whether extra work is worth it.

When teaching or other paid duties are part of the offer, read the funding agreement before accepting. Some awards restrict outside work or require approval from the funder, and a supervisor’s support does not waive a funding condition. Completion and any later immigration application involve separate conditions; do not assume submitting a thesis automatically changes your right to work.

Part-time work can narrow the gap. The National Living Wage rose to £12.71 an hour in April 2026, so ten hours a week at that rate returns roughly £550 a month before tax — useful against a shortfall, but never a substitute for guaranteed funding, and money you have not yet earned cannot serve as maintenance evidence for the visa itself. Check that a proposed role is permitted under your conditions first; the hourly rate only matters once the activity itself is allowed.

Check the whole week, not each role separately

If you have more than one permitted role, consider the combined hours under your actual conditions rather than each job separately. Confirm whether training, preparation or voluntary work counts in the circumstances, using university guidance and the relevant rules. A teaching timetable showing only contact hours may not describe all working time, and do not assume an unpaid position is unrestricted. The example week below shows how quickly counting items add up.

Keep a written record of the advice you receive and of your hours. For teaching or demonstrating, ask both the employer and the graduate school how the role fits your appointment or studentship, and whether preparation and marking are included in the count. Planning around confirmed permissions is safer than interpreting a general article as approval for a particular job.

Confirm the job before agreeing to it

A research assistantship, teaching role, freelance project and voluntary position are not interchangeable for immigration purposes. Describe the actual activity when asking your university for advice: who would engage you, what work you would do, whether you would be an employee and how payment would be arranged. The job title alone may not resolve whether the activity is permitted.

If your permission includes a weekly work limit, plan around the total across relevant roles. Ask how preparation, required training and other duties are recorded. Keep the agreed hours and your records together so that you can check the total before accepting an additional shift or task.

Three checks for the same proposed role

Passing one check does not answer the other two. A supervisor may support a teaching opportunity while the funding agreement requires a separate approval. An employer offering extra hours does not determine your immigration conditions. Resolve the complete arrangement before relying on the income.

Why the undergraduate calendar can mislead

Doctoral work often continues during periods when taught students have no classes. Do not infer your vacation dates from an empty campus, a supervisor’s absence or the end of lectures: on the Student route, unrestricted full-time work applies to approved vacations, and research degrees do not automatically follow the undergraduate calendar. Ask the graduate school how approved leave is recorded for your programme; writing up, waiting for a viva and awaiting corrections can also involve specific institutional and immigration guidance.

Imagine that you have one permitted role for several hours and are offered another short appointment. Before accepting, check the combined weekly hours and any preparation duties. This example is about the method of checking; it does not approve a particular workload or establish a universal limit for every doctoral researcher.

Can I do freelance work if I stay under an hours limit?

An hours limit does not make every activity permissible. Student permission restricts self-employment and certain other activities. Ask the university’s immigration advisers about the actual arrangement before taking freelance work.

Can I base my study budget on future teaching?

Use confirmed maintenance or salary for the core budget. Teaching may be unavailable, irregular or subject to permission. Include it only after the role and conditions are established, and keep it distinct from guaranteed doctoral funding.

Ask about changes in your circumstances

If you interrupt study, change course, move into a different research stage or receive new immigration permission, ask whether the employment advice still applies. Do not assume that approval for one role carries forward automatically after a material change. Tell the university advisers the dates and the actual arrangement so they can identify the relevant conditions. Keep the employer informed through the appropriate process where your permission changes. A written record is useful because the issue is the permission that applies when the work is performed, not the rule you remember from an earlier application. Review your funding agreement as well if the academic or financial arrangement changes.
